Office Relocation Checklist: Planning Furniture Logistics Without Downtime

Office relocations usually get planned around the lease and the IT cutover, with furniture treated as an afterthought — which is exactly why furniture ends up being the reason the move slips by two weeks. It's one of the last trades scheduled and one of the longest lead-time items in the entire plan.

Decide what moves, what gets replaced, and what gets sold before you book movers

Audit existing furniture condition against the new floor plan's actual dimensions, not the old one. A desk that fit the previous layout may not fit a new cabin configuration, and a chair that's already five years into its service life is usually cheaper to replace than to move, insure, and reinstall.

Sequence new furniture delivery against the move date, not before it

  • Confirm new-furniture lead times against the lease handover date as early as possible — not after the move date is already fixed
  • Stage delivery of new pieces to arrive after old furniture is cleared out, rather than trying to overlap the two in a half-empty space
  • Plan the furniture swap itself for a weekend or a low-activity window rather than a working weekday

Minimising downtime for teams during the transition

Where the floor plan allows it, staggering the move department by department keeps more of the team productive than a single hard cutover day where everyone is without a desk at once.

We coordinate delivery timing directly against a client's relocation schedule for bulk and multi-floor moves, precisely because furniture arriving a week late is enough to delay an entire office opening.
